The Customer Service Representative/Order Entry Specialist is accountable for order entry, sample processing, as well as interpreting and clarifying customer orders for shipping requirements. Informs customers and management of any issues, changes or delays and communicates accurately and efficiently on inquiries of all kinds from customers and co-workers.
The Customer Service Representative is also accountable for billing and post-ship billing processes. Checks and confirms pricing, quantity and shipping terms for billing or credit adjustments and confers with management regarding customer pricing and credit.
Evaluates customer’s credit to determine status how orders should be billed.
Checks product availability, consider nearest shipping point.
Traces and tracks all shipments for on-time delivery.
Prepares a list of daily shipments for warehouse.
Checks daily on pending orders to ensure that shipments will meet customers’ expectations (orders/samples.)
Maintains and updates customer price files and contracts.
Identifies the appropriate company location to ship goods so that products arrive in a timely manner.
Ensures that shipping and packaging requirements are satisfied.
Maintains customer master files for accurate and complete documentation for products and orders, so that inquiries can be resolved expeditiously.
Assures that department policies and procedures comply with ISO requirements.
Performs special assignments upon request.
High School Diploma or Associate’s Degree in Science or Business plus significant, relevant work experience acceptable.
Five or more years of customer service and high-volume order-processing experience is required.
Experience working in Customer Service in the Manufacturing or Chemical industry is essential.
PC proficiency, strong accuracy, speed, skill and experience in data-entry is required.
Detail-oriented, customer-focused persona.
Flexibility to work overtime.
